Website

How to edit your business website

Update your site's content from the Website editor, no code or website builder needed.

Your business website is included and hosted for you. From the Website editor in your workspace, you can update your logo, hero section, services, hours, and contact information, all without touching code.

Changes save directly to your live site. There’s no separate site tool, plugin, or builder to manage.

Posts

From the same editor, you can create, edit, and publish posts for your site, such as service updates, announcements, or new offerings. Publish when you’re ready, or save a draft to finish later.

Calendar & Agenda

How to manage your calendar and reminders

Create, update, and track events and reminders from Katsu's built-in calendar.

Katsu includes its own business calendar, so appointments and reminders live in the same workspace as your customers, messages, and documents.

From the Calendar view, you can create, view, update, and cancel events. Each event can include a time, description, and any customer it relates to.

You can also ask the assistant to schedule or adjust an event for you, for example “book a follow-up with Jane next Tuesday at 2pm.” It will confirm before making the change.

Customers

How to add and manage a customer

Create a customer record and link it to message threads and documents.

From the Customers view, choose New customer and enter what you already know: a name, one or more email addresses, phone numbers, and any notes worth keeping. You don’t need every field filled in to save the record.

Once a customer exists, Katsu links related message threads and documents to it automatically when the contact information matches. You can also link things manually from a message thread or document if the automatic match misses.

Customers can be edited, archived, or merged at any time. Archiving keeps the record and its history but removes it from your active list; merging combines two records (and their linked messages and documents) into one when you discover a duplicate.

Power Search

How to run a Power Search

Set up search terms and locations, or import a CSV, to find contacts, vendors, and prospects.

“Power Search” is how Katsu helps you find and organize new contacts, vendors, and business leads without turning into an uncontrolled outreach tool.

From Power Search → New search, you can either:

  • Provide search terms and a location and let Katsu build a candidate list, or
  • Import targets from a CSV you already have.

Once a search is running, you can review its progress and findings from the job detail view. Each result becomes a prospect record you can review, add notes to, and track through your own qualification process.

When a prospect is ready, promote it to a full customer record in one step. Its contact info and any linked activity carry over.

Documents

How to upload and analyze a document

Upload a bill, contract, or quote and let Katsu extract the details that matter.

From the Documents view, upload a file: bills, invoices, contracts, quotes, estimates, or any other business document. Katsu extracts the text, classifies the document type, and produces a structured summary: parties involved, dates, amounts, payment terms, obligations, risks, and suggested follow-up actions.

You can associate a document with a customer during or after upload. If the extracted summary looks off, or the source file changes, you can queue the document for reprocessing to get a fresh analysis.

Katsu’s document analysis is intentionally conservative. It aims to surface what’s uncertain rather than guess, so you always know what to double-check yourself.

Assistant

What the assistant can and can't do

The assistant works inside your business data, and asks before it changes anything that matters.

The Katsu assistant is available throughout the workspace and can use whatever screen or record you’re currently looking at as context. It can answer questions about your business data, find and summarize customers, documents, messages, and prospects, and take actions like creating or updating a customer, drafting a message reply, or queuing a document for reprocessing.

Two things it will not do:

  • Invent missing details. If it needs a customer name, prospect detail, or document association it doesn’t have, it asks instead of guessing.
  • Change records silently. Actions that modify your data require your confirmation when appropriate. The assistant is built to keep you in control of anything consequential.

The assistant is scoped to your business workspace. It’s not a general-purpose chatbot, and it’s not an autonomous sender or an autonomous sales agent. It acts on your explicit requests.

Account & Billing

Billing and usage caps, explained

Why plans include a monthly cap on AI-driven processing, and what happens if you reach it.

The Katsu plan ($39.95/mo) includes a monthly cap on AI-driven processing: message classification, document analysis, and assistant actions. These operations call out to AI models on the backend, which have a real cost per call, so the cap keeps pricing predictable instead of passing variable usage costs straight through to you.

If your business needs more volume than the plan includes, contact us to talk through your needs.

If you’re approaching your monthly cap, Katsu will let you know from within the app before you hit it, so there are no surprise interruptions mid-task.
